What we keep, and for how long
What is collected
Your name, work email address and job title, a photo if you upload one, and your answers to the interview questions.
If you record your answers
You can talk rather than type. If you do, the recording is turned into text that you read and correct before sending, so what you send is always what you meant, not what a machine thought it heard.
Both are kept: the recording itself, and the first version of the text before you corrected it. That is so a poor transcription can be looked at again rather than lost, and so we can tell how well the transcription is working. They are deleted on the same twelve-month clock as everything else below. Recording is optional. The interview works exactly the same typed, and nothing asks you twice.
Who sees it
Michael Atkins reads them, to prepare your materials and the training day itself.
What it is used for
Preparing your materials for the day: the starter folder you download, and the list of tasks you work through in the afternoon. Nothing else, and it is never used to train an AI model.
Please do not paste client information in
The questions are about you and how you work. They never ask for your clients' names, documents, or anything out of a live file, and you should not add any. Real examples of your work are brought to the day itself and stay on your own machine.
How long it is kept
Twelve months from your training day, then deleted. It is kept that long so that follow-on work can build on what you have already said rather than asking you the same questions again. Once you download your folder it is yours and on your own computer; deleting our copy does not touch it.
Where it is held
In the United Kingdom and the European Union, and nowhere else. The database and the files are in London. The AI that asks the follow-up questions and prepares your folder runs in the Netherlands, and voice answers are transcribed in the European Union. Nothing you type or say leaves the UK or the EU.
Asking for it to be deleted
Email michael@cairnworks.co.uk at any time and it will be deleted within 30 days.
